Post or unpost schedules

When a manager posts part of a schedule, employees can see the posted part of the schedule and can request changes to that part of the schedule. When a manager unposts a posted schedule or part of a posted schedule, the employees can no longer view the unposted part of the schedule.

Quick Post

You can use Quick Post to post the loaded time frame and location.

  1. Click Tap Tools in the action bar and select Quick Post.
  2. When a warning appears, click tap Yes to post the loaded time frame and loaded location.
Note: If the Schedule Period assigned to you has been configured as an extended Schedule Period, the period has been extended by one day. This extended time frame is automatically included in the posted schedule for the following Schedule Periods: Previous Schedule Period, Current Schedule Period, Next Schedule Period, Next Schedule Period + 1, and Next Schedule Period + 2.

Manage Schedule Posting

Click Tap Tools in the action bar and select Manage Schedule Posting. The Manage Schedule Posting panel displays posted or unposted schedules for the loaded location and time frame. The location is the same as the location currently loaded. From here you can:

View posted and unposted schedules

  1. (Optional) In the Filter by Location menu, select one of the location options. The list reflects all locations currently loaded.
  2. In the Status menu, select either Posted or Unposted to show either posted schedules or unposted schedules for the selected location and all the locations it includes.
  3. (Optional) You can view additional details about each location listed under the loaded location by clicking tapping the button. The Post details panel appears,
    • You can click tap the Post or Unpost button as applicable at the bottom of the panel to post or unpost that location's schedule.
    • You can select to return to the Manage Schedule Posting panel
  4. Click Tap Cancel to close the Manage Schedule Posting panel.

Post schedules

  1. (Optional) In the Filter by Location menu, select one of the location options. The list reflects all locations currently loaded.
  2. In the Status menu, select Unposted to show unposted schedules for the selected location and all the locations it includes.
  3. Select either the All check box to prepare to post all the listed locations, or select one or more check boxes to prepare to post only selected locations.
  4. Select Post. The system posts the selected schedule

Unpost schedules

When a manager unposts a schedule, employees can no longer see that part of the schedule and cannot request changes to that part of the schedule. You cannot unpost schedule dates in the past. The loaded time frame must not include any past dates.

Note: Although unposted schedules are generally concealed from employees, a specific employee's Functional Access Profile can allow viewing unposted schedules.
  1. (Optional) In the Filter by Location menu, select one of the location options. The list reflects all locations currently loaded.
  2. In the Status menu, select Posted to show posted schedules for the selected location and all the jobs it includes.
  3. Select either the All check box to prepare to unpost all the listed locations, or select one or more check boxes to prepare to post only selected locations.
  4. Select Unpost. The system unposts the selected schedule locations.

Notify Employees

Depending on how your system is configured, there are several ways to notify employees when you change a posted schedule:

Tools menu

Click Tap Tools in the action bar and select Notify Employees. Click Yes or No when the following warning appears:

This action will send notifications to all employees who need to be notified that their posted schedule has changed. Do you want to continue?

Note: Notifications are only sent if you modified the schedule. If you did not modify the schedule (for example, you created a shift and then deleted it), notifications are not sent even if you click Yes here.

Automatic notifications

Some systems are configured to automatically send notifications to all employees affected by a schedule change or to not notify employees at all.

Manager-controlled notifications

After you change a posted schedule, the following message may appear:

This action can send notifications of this update to all employees whose posted schedule is affected. Do you want to continue?

You can select from the following:

  • Save & Notify — Save the schedule changes and notify employees.
  • Save & Do Not Notify — Save the schedule changes, but do not notify employees.
  • Cancel — Do not save the schedule changes. No notifications are necessary.
